Your agency can have a head of technology without hiring one full-time.
What we'd build for your agency
These examples are about your clients, your website and the software that the agency pays for. We also build for the parts of the agency that clients never see, like the books and hiring. During the first month, we decide with you where to start.
Quote requests from your website
We set up a quote form on your website, and that form asks for the details that your team needs. As soon as someone sends it, even at night or on a weekend, they get a reply that you've approved, and that reply tells them what happens next. Every request goes on one list, and you can see which people are still waiting to hear from the agency.
Questions from your clients
We gather the answers that the agency has already given to the questions that clients ask most. When a new email comes in with one of those questions, AI uses those answers to draft a reply, and someone at the agency reads the draft before the client sees it.
Your online reviews
Anyone who looks up your agency online can see its reviews. When someone leaves a new review, the software that we set up lets you know, and AI drafts a reply that isn't posted until you approve it. We can also set up a short email that asks your clients for a review.
The programs that hold your clients' information
We list every program that holds your clients' information, so that you know where that information is and who can see it. Before the agency signs up for a new program, you can ask us what that program does with the information that you put into it.
Your software bills
We add up what the agency spends on software in a year, program by program, so that you can see the whole bill in one place. When one of those programs can't do something that you need, we tell you whether we'd build what's missing ourselves or pay for another program, and you decide.
How the agency is doing
We build a page that shows how many people asked for a quote this month, where they found your agency, how quickly they heard back and how many of them became clients. That page gets its numbers straight from your website, your inbox and your client list, so that you can check it on any day without waiting for someone to put a report together.
How we'd start with your agency
We start with a free call, and on that call, you describe what you'd hand to a head of technology if the agency had one. Before the call ends, you'll know whether that's work that we do.
The first month is when we get to know the agency. We meet with you and your team, and together we look at each program on the agency's software bill. Then we write a list of what we'd build for the agency, and you put that list in the order that you want. We start on the first project before the month ends. The list is the agency's to keep, even if the first month is the only one that you pay for.
Your clients trust you with their information
- The agency owns every account that we open for this work, including the AI subscriptions, and it owns everything that we build.
- We use your clients' information only for the work that you've asked us to do, and we keep it private.
- Under the terms of the business subscriptions that we set up, the AI company doesn't train on your clients' information.
- You decide which of the agency's programs we can log in to, and when you stop, we remove every login that we had.
- If we learn that any client information was exposed or mishandled, you'll hear it from us as soon as we know.
What it costs
$5,000 a month
We set this price for independent agencies that have about 10 to 200 people and nobody whose job is technology.
You pay the same amount each month, whether we spend that month building, answering the agency's software questions or keeping what we've built running.
A typical project is done in two to four weeks, and we finish it before we start the next one.
The first month is billed like any other month, and there's no setup fee.
There's no long-term contract. When you want to stop, you tell us before the next bill, and we don't charge you again.
If your state charges sales tax on this work, we add it to the bill. Some projects call for a new program or an AI subscription, and the agency buys those in its own name from the company that sells them. We give you the price before the agency buys anything.
Questions
Do we need someone technical at the agency to work with you?
No. What we need from the agency is time with you and your team, so that we understand how your clients reach you and what they ask for. The technical side is our job, and when we hand something over, we show your team how to use it without any technical words.
Will you tell us whether a program is worth buying?
Yes, and that's a big part of the job. You send us the name of the program and what it costs, and we'll tell you whether we'd pay for it. If we wouldn't pay for it, we'll tell you what we'd do instead. No software company pays us to recommend its product, so we give you the same answer that we'd give if it were our own money.
Do you already know the software that insurance agencies use?
No, we don't. During the first month, we learn the software that your agency uses by going through it with you and your team. If one of your programs won't connect to anything else, we'll say so and tell you what we can still do without that connection.
Who sees our clients' information?
Your team does, and we see the parts that we need for the work, like your email and your client list. Your clients' information stays private, and we use it only for the agency's work. Every account that we open is in the agency's name, which means that the agency decides who has access.
Can AI send emails to our clients without anyone checking them first?
No. An email that AI drafts for a client carries the agency's name, so a person at the agency reads each one before the client sees it. The exceptions are messages whose wording you've approved ahead of time, like the reply that lets someone know that the agency got their quote request.
Will the AI company train on our clients' information?
No. When we set up AI for your agency, it runs on a business subscription that your agency pays for in its own name, and under that kind of subscription, the AI company doesn't use what you send to train its AI.
How is this different from what our IT company does?
Your IT company keeps looking after the agency's computers, phones, Wi-Fi and passwords. We help you decide which programs the agency should pay for, and we build what those programs can't do. When a project needs something from your IT company, we work that out with your IT company directly.
Do we sign an agreement before you start?
Yes. Before any work starts, the agency signs a short agreement with us. In it, we agree to keep the agency's information private, and we agree that the agency owns everything that we build.
What do we keep if we stop working with you?
The agency keeps everything that we built and every account that we opened, because we set all of it up in the agency's name from the start. Your team gets written instructions for each thing that we built, and when our last month ends, we remove our access to the agency's accounts. We don't send another bill after the one that you've already paid.
Book a call
The call is free and takes 30 minutes on video. Tell us what's taking too much time or isn't working, and we'll tell you whether we can help. You don't need to prepare anything.
If none of the times work or you'd rather email, write to inquiries@praxischarter.com, and we'll reply within one business day.
