What we build

These are examples of what we build in each part of the business. What we actually build for you comes out of the first month, when we learn how your business runs.

The software you pay for

A lot of businesses pay for more software than anyone on staff could list, and nobody is in charge of it. Renewals go through without anyone asking whether the business still needs the program, and new purchases get made by whoever has the problem that week.

What we'd build

  • Before you buy or renew any software, you can run it by us, and we'll tell you whether it's worth the money.
  • We keep a list of every program the business pays for, what each one costs and who uses it.
  • We point out programs that do the same job, and you decide which ones to cancel.
  • We turn on features you're already paying for but have never used.
  • We keep a written list of what to build next, and we update it when the business changes.

An example with AI

  • What the software does: When a renewal notice comes in by email, the software adds the new price and the renewal date to your list.

Who checks it: We look it over and tell you whether it's worth renewing before the date comes.

We'd start by going through the last few months of card statements and invoices with you and listing every program the business pays for.

Sales and marketing

New inquiries come in through the website, the phone and email, and they end up in different places. Some of them wait days for a reply, and you can't tell which ads or referrals actually bring in customers.

What we'd build

  • Every inquiry from your website or email lands in one customer list, and your team can add phone calls to it in a few clicks.
  • The software replies to each inquiry from your website or email right away, and it uses wording you've approved ahead of time.
  • The whole team works from the same customer list, and anyone can see when a customer last heard from you.
  • Your salespeople get a reminder when a lead hasn't heard back in a few days.
  • You can see where new customers are coming from without asking anyone to pull the numbers.

An example with AI

  • What the software does: When an inquiry comes in, the software reads it and fills in the customer's name, what they're asking for and how they found you.

Who checks it: The salesperson checks the details before calling them back.

We'd start by listing every place a new inquiry can come in and following a few of them to see where they end up.

Customer service

The shared inbox fills up with the same few questions, and whoever gets to it first answers by hand. Some emails sit for days because nobody is sure whose job they are.

What we'd build

  • We set up incoming email so the software sends each message to the right person.
  • We build a page where customers can check on their request without having to call.
  • When a common question comes in, the software writes a draft reply, and your staff can send it with one click.
  • You can see how long customers wait for a reply.

An example with AI

  • What the software does: When a customer asks about their account, the software looks it up and drafts the reply.

Who checks it: Someone on your team reads it and sends it.

We'd start by going through a week of your shared inbox with you and listing the questions that come up again and again.

Finance and accounting

The same invoice gets typed into one program and then again into the books. Month-end takes days because whoever does your books has to match payments to invoices by hand, and late invoices only get a reminder when somebody remembers to send one.

What we'd build

  • We connect your invoicing to your accounting software, and after that the numbers only get typed in once.
  • The software matches payments to the right invoices, and you only look at the ones it can't match.
  • Customers with late invoices get an automatic reminder on a schedule you set.
  • One page shows what customers owe you and what you owe, and it's up to date on any day of the month.

An example with AI

  • What the software does: When a bill comes in by email, the software enters it in your books.

Who checks it: Someone on your team checks any bill that's from a new company or higher than usual before it gets paid.

We'd start by walking through a month-end with whoever does your books and writing down every step they do by hand.

Operations and hiring

Work gets tracked in a spreadsheet that only your office manager understands, and everyone else has to ask them where things stand. Hiring runs out of someone's inbox, and a new hire's paperwork gets started from memory.

What we'd build

  • We turn that spreadsheet into a simple app, and everyone in the office and in the field can see what's due and who's doing it.
  • When one person finishes their part of a job, the app tells the next person right away.
  • Every job application lands in one place, and everyone doing the hiring can see where each candidate stands.
  • When you hire someone, you fill out one form, and the software sends out all of their paperwork.
  • We write down the steps that only one person knows, so the work keeps moving when they're out.

An example with AI

  • What the software does: When a customer leaves a voicemail or fills out the form on your website, the software creates the job on your schedule with the details filled in.

Who checks it: Whoever runs the schedule checks the details and assigns the job.

We'd start by following one typical job through the business, from the first request to the final invoice.

Reports

You can't see how the business is doing until someone builds a spreadsheet, and by the time it's done, the numbers are a few weeks old.

What we'd build

  • We put the numbers you check every week on one page, and the page updates itself.
  • You can look at sales by month, by person or by product whenever you want.
  • The page pulls the numbers straight from the programs you already use, and nobody copies them into a spreadsheet anymore.
  • You get an email when a number you care about, like new inquiries for the week, drops below a level you set.

An example with AI

  • What the software does: Every Monday, the software writes a short summary of last week's numbers and what changed.

Who checks it: You read it, and you can check any number against the page it came from.

We'd start by asking which five numbers you'd want to see every Monday morning and where each one comes from today.
